1. Sales Tracking and Reporting
1.1 Introduction
Accurate sales tracking and timely reporting are essential for maintaining financial transparency and monitoring the health of the business. Franchisees must follow procedures for daily, weekly, and monthly sales reporting, including the use of the POS system and required financial documentation.
1.2 Daily Sales Reporting
POS System Use: Franchisees must use the designated Point of Sale (POS) system to record all transactions. The POS system will track sales, refunds, discounts, and taxes.
End of Day Report: At the end of each business day, franchisees must generate a Daily Sales Report from the POS system. This report will include:
Total sales for the day (both cash and credit card transactions).
Breakdown of sales by product or category (e.g., pizza, sides, drinks).
Any discounts, promotions, or coupon usage.
Sales taxes collected.
Any voids or refunds processed.
Documentation: Franchisees must save and submit a copy of the Daily Sales Report to the franchisor or designated financial contact as required.
Cash Drawer Reconciliation: After generating the daily sales report, count the cash in the cash drawer and compare it with the system’s sales total. Any discrepancies should be recorded and reported immediately.
1.3 Weekly Sales Reporting
Weekly Summary Report: Each week, franchisees must submit a Weekly Sales Report, summarizing the following:
Total sales for the week (cash and credit card).
Breakdown of sales by category (pizzas, sides, etc.).
Total discounts, loyalty rewards, and promotions applied.
Summary of any returns or refunds.
Sales comparison against previous weeks (to monitor trends).
Submission: Submit the Weekly Sales Report via the franchisee portal or email by the designated deadline each week. Ensure it includes any necessary supporting documentation (e.g., receipts for large transactions, refunds).
1.4 Monthly Sales Reporting
Monthly Financial Overview: At the end of each month, franchisees must submit a comprehensive Monthly Sales Report, which includes:
A detailed breakdown of total sales, refunds, and discounts.
Gross revenue for the month.
Net revenue after deductions (e.g., taxes, returns).
Year-to-date sales tracking and performance against monthly targets.
Any adjustments or special circumstances that affected sales.
Financial Documentation: Include copies of relevant financial documentation, such as bank statements, receipts, or proof of payments for large orders or expenditures. Submit this documentation to the franchisor by the designated due date
